Questions to Ask Wedding Vendors Before You Book
By Altar & Agenda · Updated
Couples hire about 13 wedding vendors on average, according to The Knot 2026 Real Weddings Study, and 37% said finding vendors was challenging. Most of the stress comes from comparing quotes that don't include the same things, and from details nobody asked about until the week of the wedding.
The fix is to ask every vendor the same core questions, then a few specific to their job, and get the answers in writing. Here's the list.

The questions to ask every wedding vendor
- Are you available on our date, and for the hours we need?
- What exactly is included in this price? Ask for an itemized list: hours, people, equipment, delivery, setup and breakdown.
- What's the total with tax, service charges, travel and any overtime? Compare totals, not headline prices.
- What's the deposit, and when are the other payments due? Note every due date.
- What's your cancellation and postponement policy? What happens to the deposit if you cancel or move the date?
- What happens if you're ill or can't make it? Who's the backup, and will you send someone with the same experience?
- Can we see a full example of your work? A complete gallery, a whole event or a sample menu, not just highlights.
- Do you carry liability insurance? Many venues require it from every vendor.
- Have you worked at our venue before? If not, will you visit it beforehand?
- Who will be our contact, and how quickly do you usually reply?
Responsiveness matters: The Knot found 52% of couples hiring a wedding planner rated it a top deciding factor, ahead of reviews or years of experience.
Extra questions by vendor
Venue
- How many guests can it hold for a ceremony, seated dinner and dancing?
- What's included: tables, chairs, linens, staff, setup and cleanup?
- Is there a required caterer, food and drink minimum or service charge?
- What's the rain plan, and when do we need to decide?
- What time can vendors get in, and when must everyone be out?
Caterer
- What's the price per person, and what does it include (staff, rentals, cake cutting, bar)?
- Can you handle dietary needs and allergies? How do you label food?
- When do you need the final headcount?
- Do you offer a tasting, and is it included?
Photographer and videographer
- How many hours, and how many photographers or shooters? (40% of couples paid extra for a second shooter, according to The Knot.)
- When will we get the photos or film, and in what format?
- Can we give you a shot list, including family groups?
- Are there travel fees? (17% of couples paid travel fees for their photographer of choice.)
The Knot found 81% of couples cited photos and examples of work as their most important factor when choosing a photographer, ahead of price (73%), so ask to see full galleries from weddings like yours.
DJ or band
- Can we choose must-play and do-not-play songs?
- Do you provide microphones and sound for the ceremony and toasts?
- Will you act as MC, and how do you handle announcements?
- What do you need from the venue (power, space, load-in time)?
Personality was a top deciding factor for 53% of couples hiring a DJ, so meet or call before you book.
Florist
- Which flowers will be in season for our date, and what are good substitutes?
- What's included in delivery, setup and pickup?
- Can arrangements move from the ceremony to the reception?
Planner or day-of coordinator
- How many meetings or hours are included before the day?
- When will you take over communication with vendors?
- How many people will be on site on the day, and for how long?
Get it in writing
Before you sign, check that the contract includes the date, times, location, exactly what's included, the total cost, every payment date, the cancellation and postponement terms and the backup plan. If a promise was made by email or on a call, ask for it to be added.
Then track every contract in one place: vendor, contact, total, deposit, balance and due date. Our wedding budget spreadsheet guide shows the columns that matter, and the free Wedding Budget Starter gives you a category budget to compare quotes against.
